Clinic Inventory Management: Stock, Batches and Expiry
Learn how clinics can organize operational inventory such as supplies, batches, expiry dates, purchasing, stock usage, and replenishment.
Clinic inventory management focuses on the operational tracking of supplies and products used by the business. Depending on the item, the clinic may need ordinary quantity tracking as well as batch or expiry visibility.
What clinic inventory may include
- General consumable supplies
- Packaged products
- Items tracked by batch
- Items with expiry dates
- Supplier purchases
- Stock usage and adjustments
- Available quantity by storage location
Why batch tracking is different from quantity tracking
Ordinary quantity tracking may only need to know that 20 units are available. Batch tracking separates those units by the batch in which they were received or produced.
Expiry visibility
When an item has an expiry date, storing that date alongside the relevant batch makes operational stock review more useful. The inventory system can distinguish items that have the same product identity but different batch or expiry information.
A practical operational flow
- Create the supply or product.
- Enable batch or expiry tracking when the item requires it.
- Record stock received from a supplier.
- Store batch and expiry information with that receipt where applicable.
- Record usage, sale, transfer, or adjustment.
- Review remaining stock and replenishment needs.
This is an operational inventory workflow. Clinical usage decisions remain outside the scope of inventory software.
